PROJECT ADMINISTRATOR – CONCESSIONS

Manages projects relating to the Chicago Department of Aviation’s Concession Program, including food and beverage, specialty retail, duty free and service categories common to the airline industry. Executes plans for ongoing concessions redevelopment.
ESSENTIAL DUTIES:
- Manage and directs a major and large scale program or project of significant size and scope in terms of budget, operations and/or staffing
- Consults with staff and consultants to determine scope of services, budgets and specifications for projects; established timelines and implements processes to track and monitor the progress of projects and the accomplishment of key objectives
- Functions as a specialized advisor to executive level managers or functions as a technical specialist or expert level professional in a given profession, specific technical area or operational area
- Coordinates and administers citywide initiatives, departmental programs and special projects of a complex and technical nature
- Develops contract terms and monitors services provided by private contractors ensuring contract provisions meet program specifications
OPERATIONS
- The Projects Administrator plans, monitors, organizes, and manages all day to day processes projects and operational aspects of the concessions program including serving as department liaison with property manager, tenant, and airlines at O’Hare and Midway International airports
- This position coordinates and oversee facilities, technology, and equipment repairs
- Plans, schedules, monitors, and present tenant construction activities as well as ensure it meets department and City standards
- Facilitates design and construction project team meetings and monthly tenant meetings
- Responds to and resolve complaints and inquiries from airport tenants, concessionaires, departments and the general public
- Manages the Concessions tenant identification badging process
- Provides administrative support for Concessions’ accounts payable and budget activities
- Coordinates and present at outreach/marketing events
- Consistently reviews, recommends, and implements standard operating procedures and practices

COMPLIANCE
- The Projects Administrator plans, organizes, monitors, and manages MBE/WBE, ACDBE, certify payroll, and lease compliance activities at both O’Hare and Midway International Airports for Chicago Department of Aviation Concessions Program
- This position reviews contracts and project plans to determine if leasing requirements and schedules adhere to lease terms as well as Federal/City of Chicago/departmental guidelines
- Provides administrative support for Concessions’ accounts payable and budget activities
- Facilitates database enhancements and performs records management administration, including the Freedom of Information Act
- Prepares statistical data and financial reports
- Coordinate and present at outreach/marketing events
- Reviews, recommends, and implements standard procedures and practices for compliance
- And, other job related duties as assigned

QUALIFICATIONS
Business or Public Administration or a field of study directly related to the responsibilities of the position, plus five years of project management work experience, or an equivalent combination of education, training and experience
